How The Prep Tag collects, uses and protects personal data when you use our kitchen labelling and compliance platform.

The Prep Tag (“we”, “us”, or “our”) provides food prep labelling, allergen compliance and kitchen audit software for hospitality businesses. This Privacy Policy explains what personal data we collect, why we collect it, and the choices available to you.

We process personal data in accordance with applicable data protection laws, including the UK GDPR and, where relevant, the EU GDPR.

Data Collection

We collect information needed to operate The Prep Tag and support your kitchen, including:

  • Account and business details — name, business email, organisation name, site or kitchen location, and billing contact information.
  • Kitchen and product data — menu items, allergen profiles, prep settings, label templates, expiry rules and compliance records you enter into the platform.
  • Operational activity — label print events, staff PIN audit logs, device pairing records and dashboard actions required for traceability and reporting.
  • Support and communications — messages you send via our contact form, email or in-product support channels.
  • Payment information — subscription and billing details processed securely by Stripe. We do not store full card numbers on our servers.

We do not sell your personal data. We collect only what is necessary to deliver, secure and improve our service.

User Accounts

When you register for The Prep Tag, we create an account linked to your organisation and kitchen site(s). Account data is used to authenticate access, manage user roles, synchronise menu and label data across devices, and maintain audit trails for compliance purposes.

You are responsible for:

  • Keeping login credentials confidential and notifying us of unauthorised access.
  • Ensuring information submitted to your account is accurate and up to date.
  • Managing staff access, PINs and permissions within your organisation.

Organisation owners and authorised managers may invite team members, assign roles and request account changes through the dashboard or by contacting us.

Analytics

With your consent, we use analytics tools to understand how visitors and customers use our website and product. Analytics help us improve performance, usability and support.

  • Google Analytics 4 — collects aggregated usage data such as pages visited, session duration, device type and general location (country/region). Google may process data on servers outside the UK/EU under its own privacy terms.
  • Microsoft Clarity — records anonymised interaction data such as clicks, scroll behaviour and session replays on our marketing site to diagnose usability issues. Clarity is configured to respect cookie consent preferences.

Analytics cookies and scripts are loaded only after you accept non-essential cookies via our cookie banner. You can change your preferences at any time using .

Cookies

We use cookies and similar technologies to keep you signed in, remember preferences, measure site performance and, where permitted, run analytics. Cookies may be first-party (set by The Prep Tag) or third-party (set by service providers such as Google or Microsoft).

Cookie categories include:

  • Essential — required for authentication, security and core site functionality.
  • Analytics — optional; used to understand usage patterns when you consent.
  • Marketing — optional; used only if we run promotional campaigns and you consent.

Device Information

When you use The Prep Tag on Android tablets, phones or through a web browser, we may collect technical information needed to connect hardware and deliver the service, including:

  • Device model, operating system version and app version.
  • Browser type, language and screen resolution (web dashboard).
  • Bluetooth printer pairing status and printer identifiers for label printing.
  • QR pairing tokens used to link kitchen devices to your organisation site.
  • IP address and approximate connection metadata for security and troubleshooting.

Location permissions on mobile devices are used solely to discover and connect to nearby Bluetooth thermal printers. We do not track, store or share your physical location for advertising or unrelated purposes.

Contact Information

We share personal data only with trusted service providers that help us operate The Prep Tag, such as cloud hosting (Vercel), database and authentication (Supabase), payment processing (Stripe) and email delivery (Resend). Each provider is bound by contractual obligations to protect your data.

We may also disclose information where required by law, to protect our rights, or to respond to valid legal requests from authorities.

We retain personal data for as long as your account is active and for a reasonable period thereafter to meet legal, accounting and compliance obligations. You may request deletion subject to applicable retention requirements.

Depending on your location, you may have the following rights in relation to your personal data:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — ask us to correct inaccurate or incomplete data.

  • Restriction — ask us to limit how we use your data in certain circumstances.
  • Portability — receive your data in a structured, commonly used format where technically feasible.
